JOB DESCRIPTION
The purpose of a Logistics assistant is to assist in the day-to-day implementation of the logistics function's responsibility. The Logistics Assistant position's purpose is to assist the BRCiS Consortium Management Unit and NRC Mogadishu Country Office team in their day-to-day procurement activities.
Generic responsibilities:
- Adhere to NRC policies, handbooks, guidelines, and donor requirements
- Assist with the implementation of the logistic function's portfolio according to Plan of Action
- Provide logistic administration and basic support
- Prepare and develop status reports as required by management
- Ensure proper filing of all support documents
- Assist in the planning and delivery of logistic activity
- Maintain logistic records, suppliers and equipment
- Promote and share ideas for improvement of the logistic function
- Perform other duties, as assigned by Line Manager
Specific responsibilities :
- Ensure all procurement processes are in compliance with the logistics handbook and
- donor requirements.
- Support BRCiS CMU and Mogadishu Country Office with all procurement needs.
- Preparation of RFQs, getting quotations, bid analysis, bid minutes, and uploading POs into
- Agresso systems to seek approvals.
- Draft supplier contracts.
- Provide feedback to suppliers on all procurement-related issues by drafting award and regret letters.
- Receive supplier's invoices and submit payments to the finance department accordingly
- Maintain updated contract management form.
- Liaise with suppliers to ensure prompt and accurate delivery of goods and services.
- Assist with organizing the transportation of materials according to established procedures in a timely manner
- Maintain an accurate asset list and send reports to the logistics Manager on time.
- Ensure there is a proper filing system for procurement documents for easier retrieval and when needed and an archive for old documents.
- Responsible for fleet management of vehicles and preparing their timely payments.
- Monitor office generator log sheet, and daily fuel consumption and prepare monthly reports
- Any other duties assigned by your supervisor.
Required Qualifications and Experience:
- Higher National Diploma in Business Administration and/or Logistics related field preferred
- Minimum of 3 years relevant work experience in a similar role.
- Computer skills in MS Office.
- Experience working as Logistics in a humanitarian/recovery context
- Previous experience from working in complex and volatile contexts
- Documented results related to the position's responsibilities
- Good communication and interpersonal skills.
- Possess cultural awareness and sensitivity.
- Ability to work independently and as part of a team.
- Fluency in English and Somali, both written and verbal.
- Knowledge of the context in Somalia is an essential
- Ability to plan and coordinate
- Ability to work under pressure and meet deadlines.

- Contract duration: Initial 3 months' probation period for 6 months contract, with possibility of extension.
