How can you make a difference?

  • Maintain up-to-date inventory of all UNICEF expendable and non-expendable properties and prepare annual inventory reports for the office. Ensure proper utilization of UNICEF property, prepare and support the local PSB for subsequent disposal of any office equipment and others as per stipulated procedures.
  • Ensure adequate and sound management of the guesthouse in Mogadishu, in line with organizational procedures and good administrative practices. Ensure availability of tools and consumables and proper maintenance of equipment, as well as reliable provision of basic services, such as electricity and water provision, cleaning and laundry, preparation of meals, etc. Ensure the guesthouse is kept clean and tidy.
  • Responsible for the direct supervision of the company providing life support services in the compound. Ensure sound planning of the company activities, in line with needs identified by the residents and the office management, and proper execution. Ensure activity reports are prepared regularly, as per contractual arrangement, are relevant and are used for subsequent planning and execution of activities.
  • Responsible for maintenance, repair and security of office and guesthouse furniture and equipment and UNICEF premises. Ensure regular and reliable supply of office utilities including electricity and water.
  • In coordination with Security Section, supervise the office transport function and provide guidance to the team of drivers. Responsible for the smooth coordination of the office fleet as well as office rented vehicles.
  • Drafts correspondence, memos and reports, in accordance with standard office procedures. Prepares routine correspondence and maintains administration records.
  • Assists with local procurement of administrative supplies for the zonal office; obtains quotations, prepares and processes documentation.

Minimum requirements:

  • Completion of secondary education.
  • Certification of formal training in Business Administration
  • Proficiency in use of computer applications for word processing and spreadsheets.
  • Six (6) years' work experience in responsible administrative capacity.
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.

Desirables:

  • Developing country work experience and/or familiarity with emergency.
